How Businesses Use Promotional Products
Promotional products are the part of your marketing budget that stays in circulation. A branded bottle sits on a desk for two years. A tote bag gets carried through a grocery store every week. You pay once and collect impressions for as long as the item survives, which is why branded merchandise still beats almost every other channel on cost per impression.
Firebird Prints decorates promo items in our East Vancouver shop and ships them to businesses across Canada. The whole approach is built around items people actually use, because a giveaway that ends up in a drawer is money spent on nothing.
Whether you are packing conference giveaways, running a client gift program, or building welcome kits for new hires, the work starts with picking the right item and then printing it properly.
Giveaways, Client Gifts, or Staff Kits
Almost every promotional order is solving one of a handful of jobs, and the job decides the product. Getting clear on which one you are solving saves you from ordering five hundred of the wrong thing.
Trade Show and Conference Giveaways
You need volume, low unit cost, and something light enough that people will carry it around a hall all day. Pens, stickers, keychains, and lanyards do this work.
Our guide to the best promotional items for trade shows covers what actually pulls traffic to a booth, and the trade show essentials collection pairs giveaways with the display side. If you also need the booth itself, that sits under trade show displays.
Corporate Gifts and Client Appreciation
Here the item is a statement about how much you value the relationship, so unit cost matters far less than presentation.
Two or three coordinated pieces in a custom swag box land better than one expensive item handed over on its own. The corporate merch collection is built specifically around this.
Employee Onboarding and Welcome Kits
A day one kit sets the tone before the first meeting starts. Most teams pair a drinkware piece with something wearable and keep the same combination for every hire, so it stays consistent as headcount grows and nobody feels they got the cheaper version.
Product Launches and Brand Activations
Launch merch works when it is worth photographing. A run of vinyl swag stickers in the package insert, a limited tote, or a small numbered piece gives people a reason to post about it, which buys reach you did not pay for.
Retail Merch You Can Actually Sell
Plenty of brands treat merch as a revenue line rather than a giveaway, and that raises the bar. The print has to survive washing, the blank has to feel right in hand, and sizing has to be correct. At that point you are usually moving into custom apparel alongside the promo items.
How Your Logo Gets Applied to Each Item
The decoration method is decided by the material, not by preference. A logo that looks sharp on a cotton bag will not transfer the same way onto a stainless bottle, so the method changes item by item.
- Pad printing. Presses ink onto small curved plastic surfaces. This is the standard for pens and most moulded items.
- Laser engraving. Burns the mark permanently into metal, wood, and bamboo. No ink, nothing to fade, and it reads as the most premium finish available on drinkware and executive pens.
- Screen printing. Handles bold one or two colour marks on fabric and flat surfaces at volume. More on how it works under screen printing.
- Embroidery. Stitches the logo into fabric for a raised, textured finish on bags, caps, and soft goods. Detail on custom embroidery.
- Full colour digital and UV printing. Reproduces gradients, photographs, and detailed artwork that a single ink colour cannot hold.
- Debossing. Presses the mark into leather and soft covers without adding any ink at all.
If you are unsure which applies, send the item you are considering along with your logo file. We will tell you which methods your artwork survives and which ones will quietly lose the fine detail.
How Many Units Do You Actually Need
Minimum order quantities are set by the decoration setup, not by a supplier wanting a bigger order. Screen and pad printing carry a screen or plate setup, so the economics only work above a certain count.
Laser engraving and digital printing have almost no setup, which is exactly why small runs of drinkware and metal items are practical where a printed item would not be.
In practice, high volume items like pens and stickers make sense in the hundreds. Drinkware, bags, and boxes work comfortably in much smaller batches.
Give us your headcount or your expected booth traffic and we will work backwards to a number that does not leave three unopened boxes in a storage room next year.
Budget Giveaways vs Premium Corporate Gifts
The decoration method is decided by the material, not by preference. A logo that looks sharp on a cotton bag will not transfer the same way onto a stainless bottle, so the method changes item by item.

Artwork Files, Proofs, and Colour Matching
Vector artwork gives the cleanest result on every method. An AI, EPS, SVG, or PDF file scales to any imprint area without softening. If all you have is a PNG or a JPG, send it anyway and we will tell you whether it holds up at the size it needs to print or whether it needs redrawing first.
Before anything goes into production you get a digital proof showing your logo at the actual size and position on the item.
Nothing is decorated until you approve it. If your brand runs on specific colours, send the Pantone references with your files. Some methods hold an exact match and some cannot, and where a method cannot, you hear it from us at proof stage rather than at delivery.
Packing, Kitting, and Shipping Across Canada
Ordering the items is usually the easy part. Getting them assembled and into the right hands is where merch programs stall.
We can pack multiple items into a single kit, add tissue, an insert, or a printed card, and ship the finished kits either to one location or individually to home addresses. For distributed teams and remote hires this is normally the difference between a program that runs by itself and one that sits half-finished in the corner of an office.
Everything is decorated in Vancouver and shipped nationwide. If you are working to an event date or a start date, give us that date at the quote stage and we plan the schedule backwards from it.
Who Orders Branded Merchandise Most Often
Startups and Growing Brands
Early recognition comes cheaper through physical items than through paid ads. A consistent tote and sticker set does a surprising amount of work in a local market before anyone has heard of you.
HR and People Teams
Onboarding kits, service anniversaries, and internal culture pieces. These are repeatable and predictable, usually ordered on a schedule rather than one at a time.
Marketing and Event Teams
Campaign merch and conference giveaways that extend a campaign past its run dates. The event and conference collection groups items by event type.
Agencies and Brand Managers
Managing merch on behalf of clients means brand guidelines have to hold across every item and every reorder. We work from your spec sheet and keep colours and placement consistent so run two matches run one.
Nonprofits and Community Organizations
Fundraisers, volunteer identification, and donor thank-yous. Budgets are tighter, so item selection matters more, and reusable pieces from the eco-friendly merch collection often fit both the budget and the mandate.
What Working With Our Vancouver Team Looks Like
Decoration Handled In House
Printing and engraving happen in our East Vancouver shop rather than being passed down a chain of suppliers. When something needs adjusting, we adjust it, instead of relaying a message and waiting.
Consistent Results on Repeat Orders
Your artwork, placement, and colour settings stay on file. A reorder six months later matches the first run rather than arriving slightly off in a way nobody can explain.
Small Kits and Large Runs Both Work
A twenty piece welcome kit and a two thousand piece conference order go through the same process. Neither gets treated as an inconvenience.
Recommendations Based on Your Audience
We will tell you when an item is a poor fit for the people receiving it, including when that means talking you out of the cheaper option. Merch that gets thrown away is not a saving.

Promotional Products FAQs
1. Why do promotional products still work?
A physical item stays in someone’s bag, on their desk, or in their kitchen and repeats the impression for as long as they keep it. Unlike an ad that disappears the moment it is served, branded merchandise has a long tail, and that tail is what keeps cost per impression low compared with most other channels.
2. How do I choose the right promo items?
Start with who is receiving it and where they will use it. A conference giveaway, a client gift, and a staff kit call for different items even on the same budget. Once the audience and the setting are clear, the shortlist usually narrows itself to two or three products. Describe the scenario and we will suggest a mix.
3. What is the minimum order quantity?
It depends on the item and the decoration method. Laser engraved and digitally printed items run in small batches because there is almost no setup. Screen and pad printed items need higher counts for the setup to make sense. Tell us your target quantity and we will confirm what is workable.
4. Which decoration method will be used on my order?
The material decides. Plastic usually takes pad printing, metal and wood take laser engraving, fabric takes screen printing or embroidery, and complex multi-colour artwork takes full colour digital. The method is confirmed on your quote so there are no surprises later.
5. Do you offer both budget and premium options?
Yes. High volume giveaways and premium gift pieces are two different jobs and we carry both. Many clients run a low cost item for events and a higher quality item for clients and staff, using the same logo treatment across the two.
6. What artwork file should I send?
Vector files such as AI, EPS, SVG, or PDF give the best result on every method. Send whatever you have and we will tell you if it needs cleaning up. You receive a digital proof showing your logo on the actual item before anything goes into production.
7. Can you assemble and ship kits to individual people?
Yes. We pack multiple items into a single kit and ship either to one address or to individual recipients across Canada. This is how most remote teams handle onboarding and holiday gifting.
8. How far in advance should I order?
Lead time depends on the item, the decoration method, and the quantity, and it covers artwork approval as well as production and transit. If you are working to an event or a start date, give us that date when you request a quote and we will confirm whether it is achievable before you commit. Rush options exist for time sensitive campaigns.
9. Do you work with businesses outside Vancouver?
Yes. Decoration runs through our Vancouver shop and promotional orders ship to businesses across Canada. Artwork approval, proofing, and scheduling are all handled remotely, so distance does not change the process.
